Purchasing Coordinator & Assistant to CFO
BASIC FUNCTION: Provide coordination in the planning, implementation, and execution of College's purchasing processes and procedures including travel and purchasing card (Pcard) program. Provide administrative support to the CFO, communicating information, updates, and priorities. Anticipate needs and proactively solve problems before they arise.
START DATE: ASAP
SALARY AND BENEFITS: Starting salary of $50,600 to $61,900 based on experience. Benefits package includes Blue Cross/Blue Shield major medical health insurance; eye care, dental, life and disability insurance; paid vacation and sick leave; a choice of IPERS or TIAA retirement plans, and a variety of additional optional benefits.
REQUIRED QUALIFICATIONS: Associate degree plus two years of related work experience. Proficient with Microsoft Office Suite, especially Excel and Outlook. Skilled problem-solver with strong organizational skills and ability to prioritize tasks effectively. Excellent verbal and written communication skills. Ability to maintain confidentiality of sensitive financial and organizational information.
PREFERRED QUALIFICATIONS: Bachelor's degree in accounting or business-related field. Understanding of accounting fundamentals and processes.
RESPONSIBILITIES AND DUTIES:
>General
- Balance and prepare the daily deposit for the Business Office.
- Provide occasional support for other positions in the Business Office as needed.
- Contribute as needed to assist with various special projects/reports.
>Purchasing
- Complete travel arrangements for all board members, guests of the College, and administrative employees. Provide travel guidelines and verify travel expense reimbursement requests.
- Coordinate the College purchasing card (Pcard) program. Review and approve new Pcard requests. Conduct one-on-one and group training for new cardholders and provide refresher sessions as needed. Monitor compliance with Pcard rules and travel guidelines. Review and approve cardholder transactions and complete monthly import of transactions into ERP system.
- Oversee purchasing activities for the College. Prepare and analyze competitive sealed bids and requests for proposals (RFPs). Issue and track purchase orders. Source and select suppliers. Administer the Amazon Business account.
- Ensure compliance with construction bidding requirements, including arrangements for bid openings, required notifications for public hearings, and preparation of materials to be presented for board approval.
- Maintain detailed fixed asset records. Track and maintain vehicle and license inventory. Serve as point of contact for vehicle insurance changes and updates.
>Assistant to the CFO
- Support the CFO in coordinating meetings, including scheduling, planning, organizing, determining attendees, preparation of materials, rooms, etc., attending as needed or requested.
- Handle confidential administrative and financial documents with discretion.
- Assist in preparing, formatting, and distributing financial and administrative documents, reports, and presentations, including financial reports for monthly board meetings.
- Full charge bookkeeping for the NIACC Foundation. Process accounts payable, enter monthly journal entries, and reconcile bank accounts. Prepare monthly financial reports, track and monitor balances for unrestricted, term and endowed funds.
- Maintain strong organizational skills, demonstrate reliability, and communicate effectively with stakeholders. Fulfill other responsibilities as needed or assigned.
Perform in a manner which strengthens the coordination and cooperation of all organizational components of the College, including opportunities for student recruitment.
